What we hold, and what we do with it
The short version. We collect what you type into one of our two forms, and nothing else about you. We don't set advertising cookies, we don't run third-party trackers, and we don't sell or share anything with data brokers.
Expert interviews are recorded. A recording is never sent to a buyer — it exists so we can build the structured profile, and so a claim can be traced back to the moment it was said. Withdraw and your profile comes down; ask us to delete the recording and we delete it.
If you are diligencing a vendor, partner or target, we never name you to an expert. That is an operating commitment, not only a privacy one.
Who holds it
Ping & Pong is operated by Sophie Ren. For anything in this policy — access, correction, deletion, or a complaint — write to [email protected] and put Privacy in the subject. We answer within seven days.
We act as the data controller for everything below.
What we collect
If you send us a brief
The buyer form asks for your question or the profile you're after, how far you want us to go, which side of the table you're on, and optionally a budget and a preferred format. To come back to you it also asks for an email, and optionally a name and firm.
We also record how you arrived — a campaign tag in the link, or the site that referred you. We keep this to know which conversation or event a request came from, not to profile you.
If you register as an expert
The expert form asks what you personally owned and until when, your current employer, any topics you won't discuss, where you sit on the schedule, optionally a link to a page about you, and an email.
The topics you rule out are used to protect you, not to assess you. They are enforced by us before a request ever reaches you.
If you book an interview
Booking runs on cal.com. It collects your name, email and the slot you chose, and puts the meeting in our calendar. The call itself runs on Cal Video.
When you just read the site
We use Cloudflare Web Analytics, which counts page views without cookies, without fingerprinting, and without following you to other sites. We cannot identify an individual reader from it.
Your browser stores one small item locally, under the key pp_src, which remembers how you arrived so the form can tell us if you come back and submit later. It lives in your own browser for the session and is cleared when you close the tab.
The recordings
The interview is recorded, with your consent confirmed out loud at the start. From it we build a structured profile: what you can speak to first-hand, what you can't, the window in which you saw it, and the boundaries you set. Every judgement in that profile carries a timecode, so it can be checked against what you actually said.
- A recording is never sent to a buyer. Not as a file, not as a link, not as a transcript
- Your profile is not shown to a buyer under your name until you have agreed to an engagement
- You can withdraw at any time. Your profile comes down and no further requests reach you
- You can ask us to delete the recording itself, and we will
Who else touches it
We keep the list short on purpose. Each of these processes data on our behalf, under their own terms:

We do not sell personal data, we do not share it with advertisers or data brokers, and we do not use it to train a public model. These services are based in the United States, so your data is processed there.
How long we keep it
- A brief — for as long as we are working on it, and afterwards as a record of what we were asked
- An expert profile — while it is active. It comes down when you withdraw
- A recording — while your profile is active, and after that only if you leave it with us
- Analytics — aggregate counts only, with nothing that points back to a person
What you can ask for
Wherever you are, you can ask us for a copy of what we hold on you, ask us to correct it, ask us to delete it, or tell us to stop. If you are in the UK, the EU or Switzerland, the GDPR gives you those rights explicitly, along with the right to object to how we use your data and to complain to your local supervisory authority.

The lawful basis we rely on: your consent for the interview and the recording, and our legitimate interest in answering a request you sent us and in running the network.
What we never do
- Name a buyer to an expert without the buyer's say-so
- Approach the subject company of a diligence question. Not for a reference, not for an introduction
- Send a recording, a transcript or a raw note to a buyer
- Put advertising trackers on the site, or sell anything to a data broker
If this changes
We'll change the date below and, if the change actually affects you, say so by email to anyone it affects. We won't quietly widen what we do with something you already gave us.
